About T.A.G Muay Thai
T.A.G Muay Thai is a martial arts gym based in Virginia, dedicated to providing high-quality
martial arts training for all skill levels. The gym faced challenges managing trial class
registrations, as their process relied on manual data entry and communication, leading
to inefficiencies.
The Requirements
T.A.G Muay Thai needed a more efficient process for handling trial class registrations.
The existing system involved scheduling through Calendly and manually entering data into
their CRM, Zen Planner. Staff had to collect participant information, send liability waiver forms
via email, wait for completed forms, and then upload them to SEM Planner. This approach was
time-consuming and required significant manual effort.
The Solutions
Zen Planner’s trial calendar was integrated directly into T.A.G Muay Thai’s website, replacing
Calendly. This integration enabled automatic profile creation in Zen Planner when a lead scheduled
a trial class. An automated email system was also set up to send JotForm-hosted liability waiver
forms to new registrants. Staff are notified when forms are signed, only needing to upload them
to Zen Planner, reducing manual tracking and communication.
The Result
The new system significantly reduced the manual workload for T.A.G Muay Thai’s staff. By automating
profile creation and the waiver process, staff can focus more on engaging with prospects instead of
administrative tasks. This streamlined approach improved both staff efficiency and the trial members
experience.
